Step 4: Practitioner Review and Report Authoring

This is where Benefique's work actually happens. The AI output is a structured set of findings and observations. Six Things AI Found That Manual Review Missed

This section uses anonymized data from a real engagement with a Miami litigation firm — three equity partners, formed August 2025, 7 months of QBO history analyzed.

1. The bank balance was lying.

The firm's bank balance showed $1.4 million. Solid, right? The AI-assisted cash analysis separated operating cash from client trust fund balances held in the same account. Of the $1.4M, only $493K belonged to the firm. The remaining $903K was client trust funds — money the firm is legally prohibited from touching for operating expenses.

An owner looking at a $1.4M bank balance feels secure. An owner looking at $493K in actual operating cash makes different decisions.

2. AR was growing faster than cash.

Accounts receivable hit $1.77 million, growing at 32% per month. That sounds like a growth story. The flip side: the firm's Days Sales Outstanding (DSO) was sitting at approximately 61 days. In plain terms, clients were taking two months to pay.

The analysis calculated that reducing DSO by 15 days would free $353K in cash — cash that was earned, that belonged to the firm, that was simply sitting in unpaid invoices instead of the bank account.

That $353K was not a cost to cut. It was not a new client to win. It was money already on the books, trapped in collection lag. DSO: the $350K number is the single most underutilized lever most professional services firms have.

3. Partner draws exceeded the windfall that funded them.

The firm had a strong month — a $1.58M revenue windfall hit the books. The partners distributed $1.71M in draws that same month. That is $127K more distributed than came in, in a single month. The draw coverage ratio for that period: 0.19x. The firm distributed 5.4 times more cash than it operationally generated.

No one flagged this in real time because the bank balance looked fine. The $903K in trust funds masked the problem. Manual review of a P&L summary would not catch this. The AI-assisted cash flow analysis connected the revenue event, the draw amounts, and the actual operating cash position simultaneously.

4. December labor costs spiked 6x.

Normal monthly labor cost for this firm ran approximately $64,000. In December, it hit $414,000. That is a $350,000 anomaly.

There are legitimate reasons a labor cost can spike — year-end bonuses, catch-up payroll entries, reclassification of draws as W-2 wages. There are also illegitimate reasons. The AI flagged it in seconds. The practitioner's job was to find out which type of spike this was and advise accordingly.

5. Only 13.5% of net income converted to operating cash.

The firm looked profitable on paper. The P&L showed positive net income. But the cash conversion analysis — comparing net income to operating cash flow — showed that only 13.5 cents of every dollar of reported profit actually made it into the bank as operating cash.

The rest was trapped in AR, consumed by draw distributions, or masked by non-cash items. This is the difference between accounting profit and economic reality. Most owners never see this number. It lives in a cash flow statement that most small business accountants do not generate monthly.

6. No tax reserve had been established.

Seven months in, the firm had no formal mechanism for setting aside estimated tax payments. The partners were taking substantial draws but had not accounted for self-employment tax on pass-through income. The IRS safe harbor rules for estimated taxes require quarterly deposits to avoid penalties. With the firm's income profile, the exposure was material.


What AI Can't Do (And Why Your Accountant Still Matters)

The AI did not know that December's labor spike was related to a partner restructuring decision made in a conference room in November. The AI did not know that the largest AR balance belonged to a client whose case had just settled. The AI did not know that one of the partners was planning to buy out a third partner in Q1.

Context lives outside the data. And context changes everything.

AI pattern recognition is genuinely powerful for identifying what is there. It is not capable of knowing what is missing, what was intentional, or what is about to change. That requires a relationship with the client.

There is also the matter of fiduciary judgment. When we tell a client that their draw coverage ratio is 0.19x and that they distributed 5.4x more cash than they generated, we are making a judgment about materiality, urgency, and the appropriate framing for that conversation. That judgment is ours. We carry the professional responsibility for it.

The Data Privacy Question — How Client Information Stays Confidential

This question comes up in every engagement, and it should. The short answer: the system was designed so that sensitive client information never enters the AI analysis layer.

Here is how:

Aggregation before transmission. The Python extraction scripts pull structured financial data from QBO — account balances, transaction categories, payroll totals. They do not pull client names from invoices, case file details, or any information that could be considered privileged or confidential under professional responsibility rules. What goes to the AI analysis layer is aggregate financial data: revenue by month, expense by category, AR aging buckets, cash position.

Anthropic's enterprise API terms. Anthropic's API, used under enterprise terms, does not train on customer data. This is contractually distinct from consumer-facing products where inputs may be used for model improvement. The data submitted via API for analysis is processed and discarded — it does not persist, does not get reviewed by Anthropic staff in the normal course, and does not become training material.

SOC 2 Type II certification. Anthropic's enterprise infrastructure carries SOC 2 Type II certification, the same standard required of financial software vendors like QuickBooks, Gusto, and major payroll providers. This is not a startup operating on goodwill. The security posture is audited and documented.

Local execution for sensitive steps. Data extraction, chart generation, and PDF compilation all run locally. The only step involving external infrastructure is the AI analysis call, and by that point the data has been stripped of anything that would identify specific clients, cases, or individuals.
